Position Overview

Our long-standing bookkeeper will be retiring so Squamish Search and Rescue Society (SSARS) is seeking a Bookkeeper / Task Administrator to provide essential financial and administrative support to our organization on a contract basis. This paid contractor role plays a critical part in ensuring the financial integrity, operational accountability, and administrative continuity of SSARS, enabling our volunteer responders to deliver life-saving search and rescue services to the Squamish community and surrounding areas.

This role is strictly administrative and operational in nature. No field response duties or SAR training are required. The successful contractor will work closely with the Treasurer, President, and Operations Managers to manage bookkeeping, financial reporting, and task-related administrative processes. Given occasional in-person administrative needs, preference will be given to contractors located in or near Squamish.

Status: Contract position

Time Commitment: Approximately 30–70 hours per month, depending on SAR task volume and reporting cycles. Workload typically increases during peak SAR season (summer), month-end reconciliations, grant reporting, and annual filings.

Work Arrangement: Remote / hybrid contract, with occasional local (Squamish) administrative tasks (e.g., mail or parcel handling)

Compensation: $30–$45 per hour, depending on experience.

Key Responsibilities

Financial & Bookkeeping Duties

  • Maintain accurate and up-to-date financial records using Society-approved accounting software (currently Sage Accounting)
  • Record and manage accounts payable and receivable, including invoice processing and proper account coding
  • Reconcile operating and gaming bank accounts on a monthly basis
  • Prepare monthly financial statements for review by the Treasurer and presentation to the Board
  • Maintain donation records and issue tax receipts and donor acknowledgements
  • Manage GST Public Service Bodies’ rebate filings and registered charity information returns
  • Assist with annual Society filings, including the Annual Report and gaming-related financial reporting
  • Support BC Gaming Grant applications and complete required post-grant reporting
  • Maintain organized, auditable financial documentation and shared digital filing systems

Task & Equipment Administration

  • Review SAR task reports and equipment records to ensure accurate data entry and reconciliation
  • Coordinate equipment replacement requests, purchase orders, and reimbursement submissions
  • Track outstanding task and equipment claims and follow up on overdue payments
  • Support accurate reporting tied to SAR tasking, equipment usage, and reimbursements

Administrative Support

  • Monitor and manage the Society’s mail and accounting email inbox
  • Coordinate mail and parcel pickup as required
  • Maintain accurate administrative records and support operational reporting needs

Qualifications & Skills

  • Demonstrated experience in bookkeeping, accounting, or financial administration
  • Familiarity with nonprofit or charitable accounting is a strong asset
  • Experience with accounting software (Sage Accounting preferred)
  • Strong organizational skills and attention to detail
  • Ability to manage deadlines and fluctuating workloads
  • Comfortable working independently while collaborating with a small leadership team
  • High level of professionalism and confidentiality
  • Located in or near Squamish, BC, with the ability to complete occasional in-person administrative tasks

Transition & Support

The successful contractor will receive transition support from the outgoing Bookkeeper, as well as ongoing guidance from the Treasurer and Operations team.
